How Northern Fells Companions uses personal information.
Who we are
Northern Fells Companions provides local companionship and non-regulated practical support around Caldbeck and the Northern Fells. For privacy enquiries, email hello@northernfellscompanions.uk.
Information we collect
When you contact us or submit a client enquiry or PA application, we collect the information you provide. This can include your name, contact details, general location, availability, support requirements, work experience and other information you choose to give us.
Why we use it
We use client enquiry information to respond to requests, discuss suitable services, make arrangements and, where a service is agreed, administer that relationship. We use applicant information to consider work applications, arrange recruitment conversations and carry out appropriate checks where an application progresses. We may also use information where necessary to meet legal obligations, protect people from harm, establish or defend legal claims, or pursue our legitimate business interests where those interests do not override your rights.
Sensitive information
Please do not send detailed medical diagnoses, financial information, identity documents or DBS certificates through our public website forms. If information of this kind is genuinely needed later, we will explain why and arrange an appropriate way to obtain it.
Who may process information
We use service providers to operate the website, forms and email. They may process information on our behalf. We only share personal information more widely where it is necessary for the service, recruitment, safeguarding, insurance, professional advice or legal requirements.
How long we keep it
General enquiries that do not become an ongoing client relationship are normally deleted within 12 months of the last meaningful contact. Unsuccessful recruitment applications are normally deleted within 6 months after the recruitment decision unless we agree with the applicant to keep them for longer. Records relating to clients, workers, safeguarding, accidents, payments or legal obligations may need to be retained for longer periods appropriate to the record and applicable legal, insurance or accounting requirements. We review information and do not keep it for longer than necessary.
Your rights
UK data-protection law may give you rights to access, correct or erase personal information, restrict or object to some processing, and in some circumstances receive a portable copy. You may also complain to the UK Information Commissioner's Office if you are unhappy with how your information is handled.
